RENTAL AND LUGGAGE STORAGE TERMS AND CONDITIONS

These Terms and Conditions apply to all bookings for winter clothing, sleds, snow equipment and luggage storage services provided by Rovaniemi Gear Rental & Luggage Storage. By completing the booking and payment, the customer confirms that they have read, understood and accepted these Terms and Conditions.

1. Bookings and Payment

All bookings must be paid in full using one of the payment methods available on the website.

A booking is considered confirmed once payment has been successfully completed and the customer has received a booking confirmation.

The customer is responsible for checking that all information included in the booking confirmation, including dates, times, rented items, sizes and quantities, is correct. Any errors must be reported as soon as possible.

2. Collection and Return Location

Unless a delivery service has been booked and confirmed in advance, all rented items and stored luggage must be collected and returned at our office:

Kansankatu 2, Rovaniemi, Finland

Collection and return must take place at the time specified in the booking or during our published office opening hours.

Collections outside office opening hours are not permitted unless they have been expressly agreed with us in advance. Arriving outside the agreed collection time does not guarantee that a member of staff will be available.

The customer must present the booking confirmation and, when requested, a valid form of identification.

3. Delivery and Collection Service

Delivery and collection at the customer’s accommodation or another agreed address may be arranged for an additional fee of €80 per location.

This service must be selected or requested in advance and is subject to availability and confirmation.

The customer is responsible for providing a complete and accurate address and for being present at the agreed delivery and collection times. Additional charges may apply if a second visit is required because the customer is absent or has provided incorrect information.

4. Rental Period and Late Returns

The rental period begins and ends at the dates and times stated in the booking confirmation.

Collecting the equipment later than the agreed time does not extend the rental period or entitle the customer to a partial refund.

All rented items must be returned by the agreed time. Late returns may result in an additional rental charge. If a delay prevents the equipment from being provided to another customer, additional reasonable costs may also be charged.

Customers should contact us as soon as possible if they expect to return any item late.

5. Condition of the Equipment

All rental equipment is inspected before being handed over to the customer.

The customer must check the items at the time of collection and immediately inform a member of staff of any existing damage, defect, incorrect size or missing item. Any existing damage reported at collection will be recorded.

By accepting the equipment, the customer confirms that it has been received in suitable and usable condition, except for any damage recorded at the time of collection.

6. Use and Care of Rental Equipment

The customer agrees to:

  • Use the equipment carefully and only for its intended purpose.

  • Follow all safety instructions provided by our staff or the manufacturer.

  • Keep the equipment secure and under appropriate supervision.

  • Avoid deliberately damaging, modifying or attempting to repair the equipment.

  • Not sell, lend, sub-rent or transfer the equipment to another person without our permission.

  • Inform us immediately if an item is damaged, lost, stolen or stops functioning correctly.

The person who made the booking is responsible for all rented items included in the booking, including equipment used by children or other members of their group.

The customer must not continue using an item if doing so could be unsafe or could cause further damage.

7. Inspection upon Return

All rented items will be inspected when they are returned.

Reasonable wear resulting from normal and careful use will not be charged. However, the customer is responsible for damage caused by misuse, negligence, improper handling, failure to follow instructions or use of the equipment for a purpose for which it was not designed.

When possible, the customer will be informed of any damage identified during the return inspection.

8. Damage, Loss and Replacement Charges

When an item is returned damaged but can still be repaired or reused, the customer may be charged compensation equivalent to 50% of the applicable replacement value listed below.

If an item is lost, stolen, not returned or damaged beyond reasonable repair, the customer may be charged the full replacement value.

Therefore, the standard charge for repairable damage may be:

  • Sled: €6

  • Snowmobile sled: €62

  • Winter overall: €60

  • Winter boots: €45 per pair

  • Mittens: €10 per pair

  • Snowshoes: €37 per pair

These charges do not apply to reasonable wear and tear or to damage resulting from a defect that already existed when the item was provided.

Where the actual reasonable cost of repair or replacement is lower than the amount stated above, the lower amount may be applied. Where several items are damaged or missing, each item may be charged separately.

9. Luggage Storage

Luggage will only be accepted for the dates and times stated in the booking.

Customers must ensure that their luggage is properly closed, secured and suitable for storage. We reserve the right to refuse luggage that is unsafe, leaking, excessively damaged, improperly packed or significantly larger or heavier than described in the booking.

Customers should keep their luggage receipt or booking confirmation, as identification may be required before luggage is released.

Luggage must be collected before the end of the booked storage period. Additional storage charges may apply to luggage collected late.

10. Prohibited and Valuable Items

Customers must not leave any of the following items in stored luggage:

  • Illegal substances or objects.

  • Weapons, explosives or flammable materials.

  • Dangerous chemicals or hazardous materials.

  • Perishable food or items that may leak or produce strong odours.

  • Live animals or plants.

  • Items whose possession or transport is prohibited by Finnish law.

We strongly recommend that customers keep passports, identification documents, keys, cash, bank cards, jewellery, medication, fragile objects and other valuable or irreplaceable belongings with them.

The customer is responsible for informing us in advance if luggage contains any unusually valuable, fragile or sensitive items. We may refuse to accept such items or require specific written arrangements.

11. Customer Responsibility

The customer is responsible for personal injury, damage or loss resulting from:

  • Using the equipment incorrectly or carelessly.

  • Ignoring safety instructions.

  • Using equipment while under the influence of alcohol or drugs.

  • Allowing an unsuitable or unauthorised person to use the equipment.

  • Leaving equipment unattended or unsecured.

  • Providing incorrect booking, delivery or contact information.

Winter equipment does not remove the risks associated with cold weather, snow, ice or outdoor activities. Customers remain responsible for evaluating weather conditions, their own physical ability and the suitability of the equipment for their intended use.

12. Our Liability

We will provide the booked items and services with reasonable care and in accordance with the confirmed booking.

To the extent permitted by applicable law, we are not responsible for indirect losses, missed transport connections, missed activities or other costs resulting from the customer’s late arrival, incorrect information or failure to comply with these Terms and Conditions.

We are not responsible for loss or damage resulting from circumstances beyond our reasonable control, inadequate packing, the inherent condition of stored belongings or prohibited items placed inside luggage.

Nothing in these Terms and Conditions limits any mandatory rights or protections granted to consumers under Finnish law.

13. Cancellations, Changes and No-Shows

Cancellation and modification conditions are those displayed during the booking process and included in the booking confirmation.

All requests to change or cancel a booking must be submitted in writing.

Failure to collect the rented items or use the luggage storage service at the booked time will be considered a no-show. No-shows and unused rental periods are non-refundable unless otherwise stated in the applicable cancellation policy or required by law.

Weather conditions do not automatically entitle the customer to a refund unless we are unable to provide the booked service.

If we must cancel a booking because we are unable to provide the confirmed equipment or service, the customer will receive a refund for the affected service.

14. Force Majeure

We are not liable for delays, cancellations or inability to provide a service caused by circumstances beyond our reasonable control, including severe weather, accidents, fire, power failures, official restrictions, strikes, emergencies or other force majeure events.

In such cases, we will make reasonable efforts to offer an alternative arrangement, reschedule the service or provide any refund required under applicable law.

15. Personal Data

Personal information provided during the booking process will be processed in accordance with our Privacy Policy and applicable data protection legislation.

Customer information will only be used for purposes connected with the booking, payment, customer service, safety, delivery and fulfilment of the rental or luggage storage agreement.

16. Applicable Law and Disputes

These Terms and Conditions are governed by Finnish law.

Any complaint should first be submitted directly to us in writing so that we have an opportunity to investigate and resolve the matter.

If an agreement cannot be reached, consumers may seek assistance from the Finnish Consumer Advisory Services or submit the matter to the Finnish Consumer Disputes Board.

17. Acceptance of the Terms

By completing the payment, the customer confirms that they:

  • Have read and accepted these Terms and Conditions.

  • Have provided accurate booking and contact information.

  • Accept responsibility for the rented equipment during the rental period.

  • Agree to pay any justified damage, loss, late-return or replacement charges arising under these Terms and Conditions.
